A chart of accounts translates Spacebase’s accounting categories into the GL account names and numbers your organization uses. For example, map the Spacebase lease expense account to your own Lease expense account, such as 6100, so accounting output uses a recognizable account identifier. The mapping identifies where an entry belongs. It does not set the payment amount or change the lease terms used to calculate the entry.

Map your accounts

  1. Open Company > Chart of Accounts.
  2. Select a chart and click Edit, or click Create Chart of Accounts and enter a name to create another chart.
  3. Enter the Account Name and Account Number for each mapping you need. The Maps To column identifies the Spacebase account, such as cash, lease expense, a right-of-use asset, or a lease liability.
  4. Add notes if needed, then click Save Chart of Accounts.
After saving, reopen the chart and check the mappings against your organization’s account list, especially where current and non-current liabilities or different asset classes use separate accounts. The chart also shows each mapping’s financial statement and account type. A Default badge identifies the default chart.

Use different mappings for exceptions

If enabled for your company, the chart detail page includes Asset Class Overrides and Lease Overrides. Use Create Asset Class Override when an asset class needs different accounts, or Create Lease Override when the exception belongs to one lease. For example, an equipment asset class may need a different right-of-use asset account from real estate. Keep the general mappings in the chart and define the exception in the relevant override.
